What to Expect From an Office Ergonomic Assessment

Most of us don’t think too much about how we sit at our desks, until our neck, back, or wrists starts reminding us!

An office ergonomic assessment takes a closer look at how an employee uses their workstation, from chair and desk height to monitor placement and everyday working habits. The goal is to identify adjustments that can make the workspace more comfortable and better suited to the person using it.

At Alberta Office Furniture, we know that creating a comfortable workplace often comes down to getting the little details right. Here’s what an ergonomic assessment can involve, when it may be worth considering, and how to prepare.

What Happens During an Office Ergonomic Assessment?

This typically looks at both the employee and their workstation. Rather than assuming there’s one “perfect” desk setup for everyone, the assessment considers the individual, the work they perform, and the equipment they use throughout the day.
Common areas to review include:

  • Chair setup – Seat height, back support, armrests, and overall positioning.
  • Desk height – Whether the work surface allows for a comfortable working position.
  • Monitor placement – Screen height, viewing distance, and positioning.
  • Keyboard and mouse – Placement that supports comfortable wrist and arm positioning.
  • Work habits – How long someone stays in one position and whether their setup lets them change positions comfortably.

Sometimes the solution is new ergonomic equipment. Other times, moving a monitor or adjusting a chair can make a noticeable difference. I am running a few minutes late; my previous meeting is running over.

What’s Included in an Assessment

Once we review the workstation, you’ll have a clearer idea of what’s working and what could be improved.

Recommendations may include adjusting existing equipment, repositioning parts of the workstation, or introducing ergonomic accessories such as monitor arms, keyboard trays, footrests, or sit-stand solutions. The assessment can also help determine whether existing desks and chairs properly fit the people using them.

For employers, these findings can provide a useful starting point for improving individual workstations or planning ergonomic upgrades across a larger office.

How Do You Know if You Should Consider an Ergonomic Assessment?

You don’t necessarily need to wait until someone is uncomfortable to take a closer look at ergonomics.

An assessment can be useful when employees regularly report discomfort, when you introduce new furniture, or when someone spends a significant portion of the day at a computer. It’s also worth considering after an office move or reconfiguration, particularly if workstations or equipment have changed. As teams and working habits evolve, periodically reviewing workstation setups can help make sure the office continues to support the people using it.

Preparation

There’s no need to make your workstation look perfect beforehand. In fact, seeing how you normally use it can give a more realistic picture of what needs attention.
Before the assessment, think about:

  • Tasks you perform most often.
  • Equipment you use throughout the day.
  • Areas where you regularly experience discomfort.
  • Adjustments you’ve already tried.
  • Anything about your workstation that feels awkward or inconvenient.

The more accurately the assessment reflects a normal workday, the more useful its recommendations can be.
